Who Can See Whose Chats on a Shared Agent?

A user sees all chats on an agent only when they are an organization admin or a member of the agent's Team with at least Viewer access. Use Only users — and anyone individually shared into an agent without being in its Team — see only their own chats.


The Two Conditions for Seeing All Chats

Gumloop checks two things when deciding whose chats you can see on a shared agent. You need both:

  1. Your role must include "view all interactions." This is granted by Viewer, Editor, and Owner. It is not granted by Use Only.
  2. You must be a member of the agent's Team. An individual share (added by email) does not make you a Team member.

If both are true, you see every conversation. If either is missing, you see only your own chats.

One exception skips both checks and grants full visibility automatically: organization admins see every chat in their org, regardless of role or Team membership.

Common Scenarios

I shared my personal agent with a teammate as Editor. Why can't they see other people's chats?

Personal agents don't belong to a Team — so no one is a "Team member," not even the owner. Direct shares from a personal space always result in users seeing only their own conversations.

I'm an Editor on a Team agent. Why do I only see my own chats?

You were individually shared on the agent but you're not a member of the Team it lives in. Ask an Owner of the Team to add you (Settings → Teams), and you'll immediately see all chats.

Will a Use Only user ever see another user's chat?

No. There is no configuration that gives Use Only users cross-user chat visibility. This is by design — Use Only is meant for end users who chat with the agent without seeing anything else, including other people's conversations.

Do hosted page users count differently?

No. Hosted pages use the same sharing model. Any signed-in user opening the hosted link is granted the role you set on the agent (typically Use Only via General Access), and the same visibility rules apply. Hosted-page visitors see only their own conversations unless they're a Team member with Viewer-or-higher access.
